About the role:
We are currently seeking a Adminstrative Assistant to join our maintenance team at our North Antelope Rochelle Mine (NARM). NARM is the world’s largest surface coal mine and is located in Wright, Wyoming. The mine produces high quality thermal coal that is loaded onto haul trucks and then shipped by rail. It has approximately 465 million tons of coal reserves.
As part of Campbell County, Wright is a safe, tight-knit community with outstanding schools, and various recreational opportunities.

Job Description
KEY RESPONSIBILITIES
- Visibly support and champion Peabody's Mission and Values

- Inspect work area & identify hazards
- Enable the activities of technical and professional staff
- Provide outstanding service to assigned client group
- Assist with daily operations by fulfilling assigned tasks
- Ensure activities comply with safety, environmental and statutory requirements
- Ability to handle stress/pressure in a calm and professional manner
- Ability to quickly assess and prioritize work goals and solve problems in a fast-paced operations environment
- Basic customer service aptitude and skills
- Able to work weekends, holiday, overtime and as required
- Handling of confidential information
Transportation:
- General knowledge of train cars (types of cars, weight of cars)
- Review train paperwork for overloaded/under-loaded cars and incorrect car id’s, correct contract and ship-to site information. Correct and resend if needed.
- Coordinate shipping schedule and specific loading instructions between customer, RR and the mine
- Check, verify and confirm treatment amounts on trains
- Work with Transportation Group to assure the loading sheet has the most current and accurate information
Customer Relations:
- Inform customers of mine and/or RR issues relative to train equipment and quality concerns
- Coordinate tonnage requests/requirements between customers, RR and mine.
- Reconcile and validate correct tonnage and number of trains during mid-month and month end billing.
- Maintain accurate and detailed records
- Coordinate customer mine tours
- Assist transportation specialist in tracking equipment, working with customer’s tonnage. Address transportation/customer service issues as they arise.
- Coordinate mine status or equipment issues between mine, customers and the railroads
- Understanding of legal contracts
Operation Support Function:
- Gather previous day’s tons shipped/produced and update report board for 8:00 mine meeting
- Assist in inventory reconciliation processes
- Order supplies for various office buildings on mine site
- Coordinate repairs/payment for office equipment maintenance agreements
- P-card usage
- Complete statements for payment through St. Louis accounting
- NARM Record Retention person
- Insure expense account reports are completed properly and in a timely manner.
- Obtain appropriate approval signatures.
- Enter data into the OOP (Out of Pocket) system for all departments except the East shop and plant maintenance.
- Follow through to completion of payment to employee.
- In conjunction with the safety incident reports, track individual; plant crew safety records.
- Coordinate with plant team leaders concerning quarterly safety lunches.
- Approve individual P-Card statements. (After manager has approved paper copies.)
- Enter data from incident reports for the safety department. Contact person involved for further or correct information.
- Other duties as assigned by the company
Physical Requirements
OFFICE ENVIRONMENT
- Must have the ability to sit for up to 8 hours
- Must be able to use a computer and communicate effectively in various forms, including email and by phone
- Must have the ability to review paper and electronic documents and complete computer entry of data from paper documents
- Must be able to find, remove and return files to/from file cabinets and discuss issues by telephone and in person
- Must be able to operate copier, fax machine, etc.
Education
- High School Degree or GED Equivalent required in Engineering or Mining/Geological Engineering preferred
