About the role:

 

 

We are currently seeking a Sr. Administrative Assistant. This person would provide general administrative support to help respective department(s), which include Corporate Accounting, Internal Audit, Financial Reporting, Tax and Treasury, meet Peabody’s vision, goals, and plans.

 

 

Duties will include:

  • Schedule and organize complex activities such as meetings, travel, and department events including audio/visual needs and materials
  • Create, develop, and update presentations and confidential documents for various department projects and initiatives.
  • Act as a liaison with other departments and outside agencies as requested; handle confidential and non-routine information, when necessary, such as Disclosure Committee Issues list, Tax annual filings and business licenses, Audit Committee materials, Management Package materials, and quarterly/annual SEC certifications.
  • Work independently and within a team on special nonrecurring and ongoing projects; act as project manager for special projects such as record retention.
  • Support department finances by processing invoices, travel reimbursement and approval, and reconciling corporate credit card expenses.
  • Sort and distribute mail including organization of overnight mail deliveries; respond to regularly occurring requests for information.
  • Expenditure authority:  process EA requests, check with individual’s requests meet the requirements per policy; update monthly transfers, workflow chart, removal of terminated employees, maintain workflow; and manage annual review.
  • Process Sales & Use Tax monthly payments, process annual reports and business licenses for all states and companies at the direction of the VP - Tax.
  • Deposit checks

This position is a full-time role, working from our corporate headquarters in St Louis, MO. Peabody offers flexible work policies, including hybrid office / home working arrangements. The salary range for this role is $67,000 to $83,000. 

 

 

About you:

  • Bachelor’s Degree  
  • A minimum of five years of relevant work experience
  • Exceptional organizational and time-management skills, ability to prioritize and meet deadlines, thrive in a fast-paced industry and office atmosphere, and possess advanced problem-solving capability
  • Good industry acumen and process knowledge
  • Ability to gather, analyse, and summarize data
  • Excellent oral and written communication skills
  • Strong accuracy with attention to detail in order to identify incorrect data or information
  • Ability to work independently and in collaboration to achieve department vision and goals
  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, Outlook, Teams, and PowerPoint
  • Proficiency with audio/visual conferencing technology
  • Demonstrates ability to work collaboratively in cross-functional teams at all levels or the organization 

 

 

Physical requirements:

  • Must have the ability to perform office-related tasks which may include prolonged sitting or standing
  • Must have the ability to move from place to place within an office environment
  • Must be able to use a computer
  • Some positions may require occasional repetitive motion or movements of the wrists, hands, and/or fingers
